This policy describes the kind of personal data processed by the ICL (through its website and by other means) and corresponding rights of the personal data subject.
The contact person for all matters related to the processing of personal data at the ICL is the Scientific Secretary.

The public services provided by the ICL through its website include paid services, namely the ordering of publications through the e-shop and facsimiles of pages or articles from newspapers and other periodicals. In these cases, the ICL processes only the personal data necessary to complete the customer’s order (name, surname, and contact details). This data is stored for a maximum of 2 years from the time of delivery, after which it is permanently deleted. Detailed commercial terms and conditions of the e-shop are available on a separate webpage.
The RETROBI database, together with its mirror databases Staročech and Lístky, offers the option of an individualised user account. Upon registration, the user’s e-mail and other optional personal data (education, workplace/school, etc.) are collected in order to monitor the way systems are used, and to facilitate future optimisation. Upon the cancellation of a user account, all related personal data is permanently deleted.
To ensure the security of the computer network, ICL processes some data on visitors to the ICL website. This data is bulk-processed and filtered to detect anomalies in the network, including infected PCs, efforts to hack accounts, etc. While a large amount of raw input data is gathered, output consists only in a short summary of suspicious activities. Normal user traffic is filtered out.
The database of Czech Literary Figures processes the largest amount of personal data at the ICL. This database, used for scholarly and historical research, contains publicly available and/or consensually provided personal data regarding literary figures. At present, the database holds information pertaining to c. 40,000 people, roughly half of which are historical figures (i.e. no longer living). Consent to the processing of personal data can be revoked at any time by writing to gdpr@ucl.cas.cz.
In addition to the personal data necessary to ensure the operation and security of the library collection (name, date of birth, identity card number, and permanent residence), the ICL Library also processes some personal data on its readers (workplace/school, education, etc.), for use in statistical analysis. Submission of this information is optional, and consent to its processing can be revoked at any time by writing to gdpr@ucl.cas.cz.
The processing of the personal data of subscribers to periodicals published by the ICL is provided by SEND Předplatné, s r. o. ICL, as administrator of personal data, has signed a personal data protection agreement with SEND Předplatné.
For the purposes of announcing public events organised by the ICL and other field-specific news, we use e-mail lists from visitor attendance lists. This information is voluntarily submitted by visitors, and consent to its processing can be revoked at any time by writing to gdpr@ucl.cas.cz. The Czech Literary Studies newsletter is sent to subscribers who have opted to receive it, and who can unsubscribe at any time, either by clicking directly on the link located in the footer of each issue, or by writing to bohemistika@ucl.cas.cz.
Photo documentation and video recordings are taken at selected events organised by the ICL with the knowledge and consent of participants. This documentation serves various purposes, including archiving, use in annual reports, the promotion of the ICL on its website, Facebook profile, Twitter, and YouTube channel, as well as analogous print and digital materials created by the Czech Academy of Sciences. Photo and video materials are not linked to other personal information.
The ICL undertakes to process personal data only by authorised and properly trained staff. With the exception of its contractually bound relationship with SEND Předplatné and the AKS Aleph library system, the ICL will not provide any personal data on users of its information services to a third party.
